Title: Academic Programmes Administrator
Location: Exeter, with occasional visits to other Iron Mill College locations (e.g., Poole, Dorset) as required.
Hours: Full-time 5-days per week. Some flexibility is required to accommodate student group visits and occasional attendance at College events during evenings and weekends.
Duration: Permanent
Salary: £27,333 – £31,660 depending on experience
Responsible to: Academic Administration Manager and Programmes Lead (for academic and placement matters)
Overview
The Academic Programmes Administrator plays a key role in supporting the delivery of counselling, psychotherapy, and mental health education at Iron Mill College. This post combines strong administrative responsibilities with high quality student and placement support. It is ideal for someone with experience in education administration, outstanding organisational skills, and a personable, can-do attitude.
You will work as part of the Academic team, providing key support to both students and faculty. The role also includes contributing to the enhancement and continual review of systems and processes related to student placements and programme delivery. You will also be responsible for regulatory tasks such as DBS checks and professional body registrations (e.g., UKCP student registration), and for supporting improvements in administrative procedures.
Key Responsibilities
- Oversee and coordinate the student placement system, including:
- Assessing and approving placement and Work Based Learning Packs
- Conducting and reviewing risk assessments and health and safety audits
- Reviewing existing placement-related processes and documentation annually to ensure quality and compliance
- Respond to student queries in a professional and timely manner, maintaining appropriate boundaries and upholding academic and professional standards
- Maintain and update databases for students, placement providers, supervisors, therapists, and other stakeholders
- Manage student DBS checks and ensure that records are accurately logged and maintained
- Coordinate student UKCP registrations and maintain compliance records
- Actively develop and maintain relationships with placement providers and supervisors
- Coordinate and support placement fairs, supervisor network meetings, and group visits
- Prepare and maintain up-to-date Placement Handbooks and ensure availability via student and staff portals
- Visit training groups and represent placement and administrative processes in an engaging and accessible manner
- Attend and contribute to staff meetings and liaise with Programme Leads regarding placement and student development
- Maintain strict confidentiality and comply with all GDPR and safeguarding obligations

Person Specification
Essential Attributes
- Substantial administration experience, preferably in a professional or educational setting
- Strong customer service/interpersonal skills
- Excellent organisational and time management abilities
- High-level written and verbal communication skills
- Proven ability to manage confidential information responsibly
- Strong IT skills, including experience with databases and document management systems
- Flexibility to travel between sites and attend occasional out-of-hours events
- A people-focused, resilient and positive individual with a ‘can-do’ approach
Desirable Attributes
- Administrative experience within an FE or HE setting
- Experience in student placements or similar field-based programme administration
- Understanding of professional training requirements in counselling/psychotherapy (e.g., BACP/UKCP)
- Familiarity with UKCP processes and/or experience in DBS administration
- Experience or qualification in counselling/psychotherapy or related fields
